Your data may be collected by either Computershare Investor Services PLC trading as the Letting Protection Service ("LPS") or one of the business partners.
The LPS or the business partners will state on collection, which entity is collecting your data. The LPS and the business partners’ aim is to safeguard the privacy and security of your personal information whilst providing a personalised service that meets your individual preference and needs. By registering for any services on the Communication Points or over the telephone or by providing any information to the LPS or the business partners, you consent to the collection, use and transfer of your information in accordance with the terms of this Privacy Policy.
If you have provided us with information about another person,in doing so you confirm that they have given you permission to provide it to us to be able to process their personal data (including any sensitive personal data) and also that you have told them who you have provided their data to and what it will be used for as stated in this notice.
The LPS and the business partners collect information primarily to make it easier for you to use the services available via the Communication Points.
When requesting information the LPS or the relevant business partner will clarify who is the collecting party.
Depending on the services which you are accessing you may be requested to provide personal information to the LPS or the business partners for a specific purpose, as indicated below. This is achieved predominantly through the use of online forms and every time you provide your details in other ways (i.e. telephone, fax, mail ore-mail). This information may include but is not limited to:
- your name, address, land line or mobile telephone numbers,fax number and e-mail address;
- your gender and date of birth;
- your occupation;
- your bank account details;
- details relating to your properties and possessions(including their value, type and period of possession);
- rental values of your properties;
- your credit status; and
- details of the way in which you are happy to receive information from us and/or selected third parties.
This information will be held and only disclosed in accordance with current legislation.
In general, whilst the LPS' or the business partners' web servers will collect information relating to IP addresses of visitors,you can visit the Communication Points without indicating who you are or revealing any information about you.
The information about you may be collected from you through or via the Communication Points, on-line forms and your communications with the LPS or our business partners for the purposes of:
where the LPS collects your data:
- dealing and processing your enquiries and requests;
- carrying out marketing campaigns
- administering records;
- (where necessary) participating in crime prevention and prosecution of offenders;
- making the Communication Points easier for you to use and providing you with access to all parts of the Communication Points;
- maintaining information as a reference tool or generated resource to the extent reasonably required;
- obtaining your views or comments on the services that LPS or the business partners provide so that LPS can improve and develop our business;
- providing you with information about existing and new products and services you might be interested in; and
- providing you with information about any developments to the Communication Points and/or products and services provided on them.
where the business partners collect your data:
- maintaining and administering your account;
- verifying your identity and eligibility for, and providing to you, any insurance products or other services that you have requested through your use of the Communication Points;
- carrying out credit checks, where applicable;
- providing and personalising the services including notifying you about important changes or developments to the Communication Points;
- dealing with and processing your enquiries and requests;
- insurance administration by an insurer,associated companies, agents or a re insurer,
- regulatory matters relating to the monitoring and/or enforcement of the insurer’s compliance with any regulatory rules/codes
- (where necessary) participating incomprehension and the prosecution of offenders;
- making the Communication Points easier for you to use and providing you with access to all parts of the Communication Points;
- providing your details to the LPS to enable the LPS to provide further details to you relating to other existing and new products and services you might be interested in, for market research purposes or any other purpose envisaged above;
- maintaining information as a reference tool or general resource to the extent reasonably required; and
- obtaining your views or comments on the services that LPS and the business partners provide so that they can improve and develop their respective businesses.
IP address information that is collected is not used to personally identify you. This information is aggregated to measure the number of visits, to monitor areas of the Communication Points, specifically the websites that are viewed and the average time spent on these. This information is used to monitor and improve the website(s).
Third-Party Web Beacons: We use third-party web beacons from Yahoo! to help analyse where visitors go and what they do while visiting our website(s). Yahoo! may also use anonymous information about your visits to this and other website(s) in order to improve its products and services and provide advertisements about goods and services of interest to you. Where applicable, following an application by you for products or services available through the Communication Points, the LPS or the business partners may conduct a credit check using the information provided by you in order to assess your eligibility for any products or services that you have requested based on the LPS’s or the business partner's own set of criteria.
When the LPS or the business partners conduct a credit check with credit reference and fraud prevention agencies, they will add the details of our search and your application to their records. Searches may also be conducted against anyone that you are financially associated with (e.g. where you have or have had a joint credit agreement) and details of such searches will be recorded on that individual's credit record as well.
The LPS and the business partners may check information with credit reference agencies which are independent of the LPS and the business partners and therefore neither the LPS nor the business partners can accept responsibility for the accuracy of information that they hold on their databases.
The LPS or the business partners may register with the agencies any inaccurate information you provide, or tell them if fraud is suspected.
The LPS may use and disclose information in aggregate (so that no individuals are identified) for marketing and strategic development purposes. Further, where you have consented the LPS might also use your information to let you know by post, telephone,fax, SMS or e-mail about other products and services which:
- the LPS or the business partners offer and which may be of interest to you;
- are offered by other companies within the Computershare Limited group; and/or
- are offered jointly with or on behalf of other third party organisations including the business partners.

In order to improve the quality of the Websites and services or the business partner’s products and services, the LPS or the business partners may from time to time send you what is known as a "cookie". A cookie is a small piece of information sent by a web server to a web browser, which enables the server to collect information from the browser. Allowing the LPS or the business partners to create a cookie does not give the LPS or the business partners access to the rest of your computer and the LPS and the business partners confirm that they will not use cookies to track your online activity once you leave the Websites. A cookie assists in identifying, for example, whether you have visited the Websites on a previous occasion. Only the site that posted the cookie can read it.
The LPS and the business partners may use cookies to identify you when you visit the Websites, to personalise the content of the Websites and to enable you to have access to information about your account.
Please note that the websites to which the Websites may be linked may also make use of their own cookies to collect information from you (including any business partners' content).
Most browsers will automatically accept a cookie, but it may be possible to set your browser to notify you when it is received, at which point you can accept or reject it. However,switching off cookies may restrict your use of the Websites.
In order for certain services to be provided to you, details relating to the LPS and the business partners are contained at section 8 and in addition the LPS and/or the business partners will tell you more about this at the point they collect your information. Please note that certain products or services may be unavailable to you if you do not want to disclose the personal information requested.
The LPS and the business partners may disclose personal information to other third parties including, in the case of the LPS other members of the Computershare Limited group, and in the case of the LPS and the business partners, government bodies and law enforcement agencies, successors in title to our business and suppliers engaged to process data on their behalf who act for the LPS(and or the business partners) for the purposes set out in this Privacy Policy or for other purposes approved by you.
The LPS and each of the business partners may from time to time have occasion to hold or transmit your personal information overseas, for example, to another member of the Computershare Limited group, where this is necessary for the efficient operation of the LPS’ service. For users based in Europe this means that the LPS may also send your information to countries outside the European Economic Area.
Each of the LPS and the business partners employ appropriate technical security measures to protect your personal information and to ensure that it is not accessed by unauthorised persons. Information is held on secure servers and is encrypted wherever this is possible. This is the same encryption used to transmit credit card details over the Internet when buying merchandise online.The LPS' and the business partners' security procedures also provide that, in addition to any password which you may require to gain access to the services available on the Communication Points, you may have to provide proof of identification before the LPS or the business partners will release personal information to you. Multiple incorrect attempts or invalidation may result in a lockout from the information. The LPS and the business partners undergo independent periodic reviews of all requisite security policies and procedures to ensure that the relevant systems are secure and protected.
You should never divulge your identification numbers, username, or password to anyone else. You should also never write your password down or store it on your computer.

A small charge may be levied in the event that you request a copy of the personal information held about you by the LPS or any of the business partners.
The Websites may contain links to other websites which are outside our control and are not covered by this Privacy Policy. If you access other sites using the links provided, the operators of these sites may collect information from you which will be used by them in accordance with their privacy policy, which may differ from this one.
If you link to any of the Websites from a third party site, neither the LPS nor the business partners can be responsible for the privacy policies of the operators of that third party site and recommend that you check the policy of that third party site should you have any concerns.
